CATERERS GUIDELINES

1. At least two weeks before the event you are catering, we would like to meet with you or talk to you by phone and discuss the arrangements for the event. We need to go over the setup of tables and chairs; what furniture you would like to use; what time frame our client has booked. (There can be no moving or rearranging of furniture without prior approval. Please see attached accessories list for moving of accessories. Only the Allandale staff can move furniture or accessories.) Finalizing these details in advance will help you and us, and help the event run smoothly.

2. Based on the size and type of event, we understand that you may need to come in earlier than the time your client has arranged with us. Please let your client know of these circumstances so he/she can rent Allandale for additional hours.

3. Any of the fine furniture from which you plan to serve food must be covered by a cloth you furnish --- includes tables with glass tops.

4. Two parking places are provided for you on the west end of the house. You may load and unload in this area and leave your car or van there. Your service personnel must park around the circle drive in front.

5. The service area is for storage of your catering items as well as a work area for you. It can become very congested during an event, so we ask that you please do not block any doors in this area. Also, please keep screen doors closed during the event by order of the health inspector.

6. An insulated warming unit has been provided for your convenience by the Friends of Allandale. This unit must preheat 45 minutes prior to use. Instructions are on the side of the unit. Please ask the hostess if you have any questions. Six full and six half sheet cake trays have been
provided with the unit.

7. Should you have any questions regarding the use of the kitchen facility, garbage disposal, etc., or need items such as dishwasher detergent, paper towels, trash bags, etc., please ask the house hostess or kitchen hostess and she will be happy to assist you.

8. Please use plexiglass cutting boards for chopping food items in the kitchen.

9. Rental items or other items you wish to deliver or have delivered to Allandale prior to the time designated for your event must be done by appointment only. We may not be able to accommodate your request for storage based on Allandale's bookings. Storage of items is based on availability of space, those calling first, and bookings. The City of Kingsport will not be responsible for any items delivered or left at Allandale.

10. Please check the kitchen and service area before you leave for items you may have forgotten. Please check with the hostess before you leave if you need to schedule a pickup time for certain items. Dishes left must be washed and placed in garbage bags, any linens should be placed in a box located in the garage, and you must move them to the garage for storage until pickup. During heavy booking times we may not be able to schedule a time for items to be picked up at a later date.

11. No decorations, signs, etc., may be hung on or from the walls, woodwork, pictures, windows, light fixtures or ceilings in the mansion. The stairway must have decorations attached with wrapped floral wire or pipe cleaners. No tape is to be affixed to above areas. Furniture or floral arrangements may not be moved or rearranged without permission and supervision of an Allandale staff person. All candles used must be enclosed in glass and placed a reasonable distance from anything flammable. Areas for us of candles must be approved by an Allandale staff person. IF using them on the mantles, a container must be placed under candle to catch the wax that drips. If using large candelabras, a clear plastic sheet must be placed under the candelabra for protection of the floor.

12. Rice, paper, glitter, silly string, confetti, etc., MAY NOT be
used at the mansion. Rose petals and bird seed may be used in
designated areas only -- outside in front of the house. Please allow hostess to keep until ready for use. Silk rose petals may be used inside.

13. Punch or champagne FOUNTAINS ARE NOT ALLOWED inside the They may be set up outside, weather permitting.

14. If you are involved in obtaining a DJ for your client, there are to be no smoke machines inside mansion or barn.

15. Caterers are responsible for supplying their own dish cloths, towels and dishes. Caterers or bartenders are responsible for taking out liquor bottles and making sure all items belonging to Allandale are checked out and in with the hostess or kitchen staff.

16. The fireplace in the living room has gas logs. This is the only fireplace to be used. Please ask the hostess to operate the gas logs.

17. Due to the age and condition of the mansion and antique furnishings and because Allandale is a city facility, there is to be no smoking inside the mansion. Designated areas are on the front and back porches.

18. Our ice machine stores 30 pounds of ice at full capacity. If you want it to start production again, empty the ice into the cooler and it will restart the process.

19. Allandale has a white damask tablecloth, which fits the dining table with 2 leaves. It may be rented for $20. PLEASE DO NOT SHAKE ANY OF YOUR TABLECLOTHS INSIDE THE MANSION. Take the outside and shake food from the. This protects the rugs and saves on cleanup.

20. If you are arranging for flowers for your client, please call the Allandale office at 229-9422 to get a copy of the florist guidelines.

21. KITCHEN HELPER: Allandale provides a kitchen helper to clean the kitchen after the caterer has finished his/her duties. The kitchen helper's responsibilities include: emptying trash, washing only dishware belonging to Allandale, and overseeing the garbage disposal and opening of champagne. For self-catered parties of 100 or less the kitchen person may be hired to wash dishes for $20. Arrangements need to be made with us in advance. Sit-down dinners or parties over 100 will require additional help which you provide.

We have a limited number of items for your use at Allandale should you forget something you need. If we have the item you need in our pantry, please ask the Allandale hostess to sign it out for you and then return it to her at the end of the event.
