RULES FOR BARN USE
The Allandale barn is available for rental Monday-Friday from 8.00 a.m.-12 midnight; Saturday and Sunday 11 a.m.-12 midnght. Office hours are Monday-Friday from 8:00 a.m.- 5:00 p.m. APPOINTMENTS MUST BE SCHEDULED TO LOOK AT THE BARN.
THE BARN CLOSES AT MIDNIGHT. The last 45 minutes of your rental is to be used for cleanup and breakdown of your decorations.
CONTRACT: After your initial contact with Allandale staff, your date will be tentatively held for 14 days. You must make arrangements to stop by the office to sign your rental contract, pay half of the rental fee, and pick up your policy. This will confirm and reserve your date and time.
THE BALANCE OF THE RENTAL FEE AND A DAMAGE DEPOSIT MUST BE PAID IN FULL TWO (2) WEEKS PRIOR TO THE EVENT: Make check payable to the City of Kingsport and mail to Allandale Mansion; 225 West Center Street; Box C-2; Kingsport, TN 37660. If there are any questions, call 423/229-9422 or 229-9359.
SCHEDULING APPOINTMENTS: Those renting the barn need to call and make an appointment to look at the facility. The renter is responsible for calling to set up the appointment.
RESCHEDULING EVENTS: An event may be rescheduled (based on the availability of the barn) up to two weeks prior to the original date and time of booking. Rescheduling of events is limited to one time.
CANCELLATION: Full refund up to 60 days prior to the event. There will be no refund after that time.
SETUP: Included in the barn rental fee are 12 5-foot round tables with 8 chairs each in the loft. The maximum capacity for the loft is 175. There are 5 8-foot rectangular tables down stairs available for use. Allandale staff needs to know in advance how you would like these tables and chairs set up.
CLEANUP: RENTER IS RESPONSIBLE FOR EMPTYING ALL TRASH INTO THE DUMPSTER BESIDE THE BARN AND FOR REMOVING ALL DECORATIONS THE LAST HOUR OF RENTAL TIME.
DAMAGES: Those renting the barn are liable for any damages to the facility, equipment and grounds. The deposit will be retumed after the area used is inspected for damage. It takes two to three weeks for the City to return your damage deposit fee. Should damages exceed the deposit, you will be billed for the balance. Renter is also responsible for damages incurred by his/her contract labor (example- caterer, florist/decorator, etc.).

RENTAL APPROVAL: All rentals of the facilities are subject to approval by the Allandale Subcommittee.
TIME FRAME ALLOTMENTS: The barn is rented in 8-hour blocks of time. Deliveries, arrival, setup. cleanup and departure must be considered in your planning of time. Prior arrangements need to be made for delivery or pickup of items not within your time frame. Because of Allandale's busy schedule it may not be possible to accommodate your request for delivery or pickup. Bands must quit playing at 11 :30 p.m. to allow time for packing and loading of their equipment.
TENTS: Setup and breakdown of tents must be scheduled prior to your event. A tent permit should be obtained from the City of Kingsport by contacting the Building Inspection Office at 229-9393. Proof of permit is required.
SMOKING: No Smoking is permitted in or around the barn area. No smoke machines are allowed.
FIRE AND POLICE SECURITY: It is the responsibility of the renter to hire an off-duty City of Kingsport fireman to ensure the security of the facility and to comply with local fire regulations. High school and college functions require one (I) off-duty policeman and one ( I ) fireman. Fire and police security must be arranged no later than two weeks before vour event. There will be an additional charge for those calling and providing one week's notice. Payment arrangement must be made two weeks in advance with the policeman and fireman. Contact person for fireman is Captain Larry Whitley or Chief John Moser at 229-9440 and contact person for policeman is Captain Ed Swayze at 229-9437. The fireman is to be at the barn one hour before the event starts to inspect your decorations and stays until the last person leaves. There is a 4-hour minimum charge.
DECORATIONS: NOTHING IS TO BE STAPLED INTO THE WALLS OR RAILINGS. STAPLE GUNS, SPRAY PAINT, GLITTER, CONFETTI AND TOILET PAPER CANNOT BE USED. THERE IS TO BE NO CREPE PAPER ATTACHED TO RAILINGS OR KITCHEN AREA DUE TO FADING OF PAPER ONTO THE WOOD. NO OPEN FLAMES ARE ALLOWED WITHIN 20 FEET OF THE BARN. HAY IS ALLOWED ON THE LOWER LEVEL ONLY FOR PHOTOS AND MUST BE REMOVED IMMEDIATELY AFTER PICTURES ARE TAKEN. DO NOT ATTACH ANYTHING TO FANS.
WEDDING REHEARSALS: One hour is given for rehearsal time for weddings. Allandale staff cannot guarantee your rehearsal will take place the evening prior to your wedding. Rehearsals are scheduled around barn bookings. If you need more than the hour given, you need to schedule the time with us. There will be an additional charge of $20.00 per hour. You are required to have a fireman unless you rehearse one hour before your wedding booking.
ALCOHOLIC BEVERAGES;
Alcohol, including beer and wine, is allowed on the premises. All laws pertaining to alcohol, including beer and wine, must be strictly followed. Alcohol, including beer and wine, must be purchased in the state of Tennessee and have a Tennessee tax seal. The service, possession or consumption of alcohol, including beer and wine, on the premises may be ordered discontinued at any time at the discretion of the Allandale Hostess. Inappropriate behavior, exposure to liability due to excessive drinking, intoxication of individuals, damage to property or injury to individuals, and other such activities will result in the closing of the bar and the discontinuance of the service, possession or consumption of alcohol, including beer and wine.
MISCELLANEOUS INFORMATION: THE CITY OF KINGSPORT/ALLANDALE IS NOT RESPONSIBLE FOR THE PROTECTION OR STORAGE OF ITEMS BROUGHT ONTO THE PREMISES FOR AN EVENT.
If there are any questions or problems during your event, please confer with the Allandale Hostess. She is in charge of the barn during the event and is well versed in policies and procedures pertaining to Allandale.
Dancing and live music plans must be approved in advance by the Allandale staff.
TELEPHONE: A telephone is available for emergency use.
PARKING: A DESIGNATED PERSON IS NEEDED TO PARK CARS FOR THE EVENT. YOU ARE RESPONSIBLE FOR CONTROLLING PARKING IN YOUR DESIGNATED PARKING AREA. ALL BARN PARKING MUST ENTER FROM WEST STONE DRIVE AT UPPER BARN PAST THE MANSION. PARKING IS ALLOWED BEHIND THE BARN IN ADJACENT FIELDS. NO PARKING IN FIRE LANE AT ANY TIME. DO NOT PARK ON DECKING BOARDS AT ENTRANCE TO BARN AND BATHROOMS. PLEASE SEE ATTACHED MAP.
GAZEBO: Duck tape and staples are not to be used to affix anything to the gazebo. You may use masking tape. All decorations must be removed prior to leaving.
PICNIC TABLES: Approximately 30 picnic tables are available for use across from the barn. Should you move any of the tables, please return them to their proper place before leaving.
