| BARN DANCES
The Allandale barn is available for rental Monday-Friday from 8:00 a.m.-12 midnight; Saturday and Sunday 11 a.m.-12 midnight. Office hours are Monday-Friday from 8:00 a.m.-5 p.m. APPOINTMENTS MUST BE SCHEDULED TO LOOK AT THE BARN.
THE BARN CLOSES AT MIDNIGHT. The last 45 minutes of your rental is to be used for cleanup and breakdown of your decorations.
CONTRACT: After your initial contact with Allandale staff, your date will be tentatively held for 14 days. You must make arrangement to stop by the office to sign your rental contract, pay half of the rental fee, and pick up your policy. This will confirm and reserve your date and time.
THE BALANCE OF THE RENTAL FEE AND A DAMAGE DEPOSIT MUST BE PAID IN FULL TWO (2) WEEKS PRIOR TO THE EVENT: Make check payable to the City of Kingsport and mail to Allandale Mansion; 225 West Center Street; Box C-2; Kingsport, TN 37660. If there are any questions, call 423/229-9422 or 229-9359.
CHAPERONES: There must be 13 chaperones. We need a list containing names and telephone numbers one (1) week prior to the event.
SETUP: We need to know your setup two (2) weeks prior to your event.
CLEANUP: Renter is responsible for emptying all trash into the dumpster and for cleanup of all decorations the last hour of rental time.
TIME FRAME ALLOTMENTS: You have an 8-hour block of time for the dance. You may pay for extra hours for decorating -- $20 per hour. We will schedule your time for decorating (could be morning or afternoon depending on our bookings).
PARKING: Park behind the barn. Do not park in fire lane at any time. Chaperones park on side of street between outside restrooms and bridge. Do not park on the decking boards at entrance to barn and restrooms.

REMOVED IMMEDIATELY AFTER PICTURES ARE TAKEN. IT MUST BE TAKEN FROM THE PREMISES WHEN YOU LEAVE
SMOKING: No smoking is permitted in or around the barn area. No smoke machines are allowed.
FIRE AND POLICE SECURITY: It is the responsibility of the social club, sorority, or group to hire one (1) off-duty City of Kingsport policeman and one (1) City of Kingsport fireman. Fire and police security must be arranged no later than two weeks before your event. There will be an additional charge for those calling and giving one week's notice. Payment arrangements must be made two weeks in advance with the policeman and fireman. Contact persons for fireman are Captain Larry Whitley or Chief John Moser at 229-9440 and contact person for policeman is Captain Ed Swayze at 229-9437. The fireman is to be at the barn one hour before the event starts to inspect your decorations and stays until the last person leaves. There is a 4-hour minimum charge.
DAMAGES: Those renting the barn are liable for any damages to the facility, equipment and grounds. The deposit will be returned after the area used is inspected for damage. It takes two to three weeks for the City to return your damage deposit fee. Should damages exceed the deposit, you will be billed for the balance.
MISCELLANEOUS: Bands must quit playing at 11:30 p.m. to allow time for packing and loading of their equipment. Music carries into residential area; therefore, volume needs to be controlled. The hostess has authority to control noise level.
The City of Kingsport/Allandale Mansion is not responsible for the protection or storage of items brought onto the premises for an event.
If there are any questions or problems during your event, please confer with the Allandale Hostess. She is in charge of the barn during the event and is well versed in policies and procedures pertaining to Allandale.
